Contract & Documentation Management

For Well PM contract management is a core aspect of our overall business approach, a key component of any well-defined and supervised project, ensuring traceability and tracking accountability, thus reducing and mitigating risks for our clients’ plans.

Our diversified experience in different contractual frameworks – FIDIC, VOB, Legea nr. 50/1991 – and strong integration of documentation into our BIM system have given us the expertise our clients need to maintain clarity in what is otherwise perceived as a dense, bureaucratic element in any project’s existence. At the same time, our strong foundations in Contract & Documentation Management gives us the flexibility needed to properly adapt to our clients’ contractual and procedural requirements.

Fundamental aspects we always emphasize to our clients are the clear definitions of roles and responsibilities, the timely and rigorous reporting and risk management, and, of course, the step-by-step lifecycle management of the contract, from drafting and negotiation, to execution, changes, and final termination of it.

HOW WE WORK

^
Step one

Client Requirements

We begin by developing a clear understanding of the client’s objectives, project scope, deliverables, responsibilities, timelines and key requirements. Together with the client and relevant stakeholders, we establish the contractual framework and identify the technical and commercial requirements that need to be reflected throughout the project lifecycle.

^
Step two

Contract Drafting, Review & Approval

Based on the defined requirements, we support the drafting, review and coordination of contractual documentation. We ensure that scope, responsibilities, deliverables, commercial terms and contractual conditions are clearly defined and aligned with the project objectives. Where appropriate, responsibilities and interfaces are further structured through a RASCI Matrix before final approval.

^
Step three

Tendering & Procurement

We manage and support the tendering and procurement process from market research and contractor prequalification through tender preparation, bid evaluation and contract award. Technical and commercial proposals are systematically reviewed and compared, while clarifications are coordinated with the relevant parties. This creates a transparent and well-documented basis for contractor selection and procurement decisions.

^
Step four

Contract Execution & Compliance

During project execution, we monitor contractual obligations, deliverables, deadlines and documentation requirements. Contract status, deviations and potential risks are continuously tracked, while relevant correspondence and decisions are documented. This provides transparency regarding contractual performance and supports timely coordination with the construction management team and other project stakeholders.

STEP FOUR

^
Step five

Risk, Claims & Cost Management

We identify and assess contractual and project-related risks at an early stage and support the implementation of appropriate mitigation measures. Claims, additional costs and contractual deviations are systematically documented, evaluated and tracked, creating a transparent basis for negotiations, decision-making and the management of potential financial and contractual impacts.

^
Step Six

Project Close-Out & Handover

At project completion, we support the structured contractual and documentation close-out process. Outstanding obligations, open claims, final accounts, contractual deliverables and required project documentation are reviewed and coordinated. We ensure that relevant records are complete, traceable and properly archived, supporting an efficient handover and a transparent conclusion of the contractual relationship.
